Privacy Policy

How we handle family accounts, athlete profiles, medical details, waivers, payments, check-in records and event photos.

1. Overview

The Homeschool Games, powered by Wild & Ready Sports (“we”, “us”), runs sports, adventure and competition events for homeschool families. This policy explains what information we collect through our website and family portal, why we collect it, who can see it, and the choices you have.

Accounts are created and controlled by a parent or legal guardian. Children do not create accounts, log in, or message other users on our platform.

2. Information we collect

  • Parent / guardian account information: name, email address, phone number, mailing or billing address, password credentials, and communication preferences.
  • Athlete profile information: child’s first and last name, date of birth or age division, gender division where relevant, grade level, T-shirt size, and homeschool or charter program affiliation.
  • Health and safety information: allergies, medications, medical conditions, accommodations, physician information where required by a venue, and emergency contacts.
  • Registration and event information: events registered for, team or city assignment, heat or division placement, check-in records from QR family passes, attendance, results, times, scores, medals, badges and personal bests.
  • Waivers and consents: signed liability waivers, code of conduct acknowledgements, media consent selections, and the date, time and IP address of signature.
  • Payment information: transaction amounts, membership tier, payment plan status, account credits, promo codes, refunds, and charter or purchase-order invoice records. Full card numbers are handled by our PCI-compliant payment processor and are never stored on our systems.
  • Vendor and sponsor information: business name, contact details, booth or package selection, insurance documentation, and tax or invoicing details.
  • Volunteer information: shift signups, roles, and any background-check status a venue or program requires.
  • Photos and video: event media captured by our staff or authorized photographers, subject to the media consent you set per athlete.
  • Technical information: device and browser type, IP address, pages viewed, referring links, and cookie identifiers used to keep you signed in and to measure site performance.

3. How we use information

  • Create and administer family accounts and athlete profiles.
  • Process registrations, memberships, payments, credits, refunds and charter invoices.
  • Run events: rosters, heats, divisions, QR check-in, scoring, results and awards.
  • Keep athletes safe — sharing allergy, medication and emergency contact details with the specific staff, medical volunteers or first responders who need them on event day.
  • Send event confirmations, schedules, arrival times, weather updates and results.
  • Send optional newsletters and announcements you may unsubscribe from at any time.
  • Improve our website, event planning and capacity decisions using aggregate data.
  • Meet legal, insurance, accounting and venue requirements.

4. Children’s privacy

We build conservatively around minors. Specifically:

  • Only a parent or guardian may create an account or enter a child’s information.
  • There is no public child directory, no child login, and no child-to-child or adult-to-child messaging on our platform.
  • Athlete medical information is restricted by staff role and access to it is logged.
  • Children’s information is never sold, rented, or used for third-party advertising or behavioral targeting.
  • Public-facing results may display an athlete’s first name, last initial, age division and team. You may request that a child be listed by initials or bib number only.

A parent or guardian may review, correct, or request deletion of their child’s information at any time by contacting us.

6. When we share information

We share information only as needed to run the Games:

  • Service providers: hosting, database, email and SMS delivery, payment processing, and photo hosting — each limited to what their service requires.
  • Event staff and volunteers: role-restricted access to rosters, check-in and, where required for safety, medical details.
  • Venues, insurers and governing bodies: participant counts, waivers or rosters when a facility or policy requires them.
  • Charter and enrichment programs: only the enrollment and invoice details needed to process a purchase order or reimbursement you requested.
  • Sponsors and vendors: aggregate, de-identified attendance and engagement figures. We do not give sponsors or vendors your contact details or your child’s information unless you opt in at their booth or on a specific form.
  • Legal: when required by law, subpoena, or to protect the safety of a participant.

We do not sell personal information.

7. Payments

Card and bank details are collected and tokenized by our payment processor. We receive a token, the last four digits, card brand and transaction status — never the full card number or security code. Membership renewals and payment plans charge the stored token on the schedule shown at checkout, and you may cancel or update a payment method in your account.

8. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember cart and registration progress, and understand which pages and events draw interest. We do not run third-party advertising or cross-site behavioral tracking. You may block cookies in your browser, though sign-in and registration will not function without the essential ones.

9. How we protect information

  • Encryption in transit and at rest for account and athlete data.
  • Row-level access rules so a family only ever sees its own records.
  • Role-based staff permissions with audit trails on sensitive access.
  • Tokenized payments handled by a PCI-compliant processor.
  • Least-privilege administrative access and regular review of who holds it.

10. How long we keep information

We keep account, participation and results history for as long as your family account is active so your Game Passport stays intact. Waivers, incident reports and financial records are retained as long as insurance, tax and legal requirements demand — typically several years after an event. When you close an account we delete or de-identify what we are not required to keep.

11. Your choices and rights

  • Access and correct your family account and athlete profiles at any time.
  • Request a copy or deletion of your household’s data.
  • Change media consent per athlete.
  • Unsubscribe from newsletters; essential event and safety notices will continue.
  • Depending on where you live, including California, you may have additional rights to know, delete, correct, and to not be discriminated against for exercising them.

12. Changes to this policy

We will update this page when our features or practices change and revise the date above. If a change materially affects how we handle athlete or medical information, we will notify account holders by email.
